Information procedure for employees, students and doctoral students of Lodz University of Technology in relation to the prevention, counteraction and combat of the SARS-CoV-2 virus
I define the following information obligations for employees, students and doctoral students of Lodz University of Technology in the case of suspected and confirmed SARS-CoV-2 virus infection :
1. For the purposes of this Announcement, the following definitions are introduced:
1) direct supervisor at Lodz University of Technology - in the case of an employee - the Rector / Dean / Director / Head of the organizational unit, and in the case of a student / doctoral student, the appropriate Vice-Dean for student affairs;
2) Vice-Dean for Student Affairs - Vice-Dean for student affairs, Director of the college for college students, Director of the Interdisciplinary Doctoral School of Lodz University of Technology for doctoral students of the Interdisciplinary Doctoral School of Lodz University of Technology and Head of doctoral studies for participants of doctoral studies;
3) close contact :
a) being in close proximity (face to face) at a distance of less than 2 m for more than 15 minutes,
b) staying in the same room for at least 15 minutes,
c) direct physical contact (e.g. shaking hands),
d) direct contact, without protective measures, with the secretions of another person (e.g. touching a used tissue, exposure to a person cough);
4) quarantine - isolation of a healthy person who was exposed to SARS-CoV-2 virus infection, which is imposed by authorized entities, eg the State Sanitary Inspection;
5) isolation - isolation of a person in the event of a positive test for SARS-CoV-2 infection;
6) self-isolation at home - self-isolation of a healthy person at home due to exposure to SARS-CoV-2 virus infection, recommended by the immediate supervisor at Lodz University of Technology under the conditions set by them;
7) remote work - performing work specified in the employment contract outside the place of its permanent performance, e.g. at home;
8) distance learning - distance learning in which classes take place at a spatial, and often also time, distance between the teacher and the student. Distance learning methods and techniques are used during distance learning, such as the Internet.
2. Employee / student / doctoral student suspected of being infected with SARS-CoV-2 virus:
1) an employee / student / doctoral student who suspects that they are infected with the SARS-CoV-2 virus should immediately perform the following actions:
a) immediately inform their immediate supervisor at TUL, if possible, without contacting them (by phone and/or e-mail) about the suspected SARS-CoV-2 virus infection
b) stay at home if currently working / studying remotely or go home if currently working / studying stationary and follow the instructions given by the direct supervisor at Lodz University of Technology,
c) contact your primary care physician for a consultation / medical visit;
2) direct supervisor at Lodz University of Technology of a person suspected of being infected with the SARS-CoV-2 virus should immediately do the following:
a) order the employee / student / doctoral student to undergo a consultation / medical visit as soon as possible,
b) order the employee to work remotely, and if, due to the nature of the work, the employee cannot work remotely, the immediate supervisor is obliged to instruct the employee to self-isolate at home and to minimize contacts (household members) ,
c) order the student / doctoral student to participate only in remote classes.
3. Employee / student / doctoral student whose doctor ordered a test for SARS-CoV-2 infection:
1) an employee / student / doctoral student who has had an appointment / medical consultation and has been referred for the SARS-CoV-2 virus test should immediately perform the following steps:
a) inform the immediate supervisor at Lodz University of Technology by phone and / or post e-mail about the SARS-CoV-2 virus test ordered to them,
b) provide the immediate supervisor at the Lodz University of Technology with information about people they were in close contact with at Lodz University of Technology, with whom he had contact during the 3 days prior to the day the test is ordered,
c) perform a test for the presence of SARS-CoV-2 virus;
2) the direct supervisor at Lodz University of Technology of the person whose doctor ordered the test for the presence of the SARS-CoV-2 virus should immediately perform the following steps:
a) establish a list of employees / students / doctoral students of Lodz University of Technology who are close contacts and notify their immediate superiors that they had contact with the person who was ordered to perform the SARS-CoV-2 virus test,
b) provide information about the employee who was ordered to test for the presence of the SARS-CoV-2 virus, who is in quarantine and information about whether or not they continued remote work to the e-mail address of the Analysis and Accounts Section akp@adm.p.lodz.pl ,
c) provide information about the person who was ordered to test for the presence of the SARS-CoV-2 virus and the established list of contacts to people from close contact (name, surname, contact telephone number) to the e-mail address of the Crisis Management Centre office.vrector.students@adm.p.lodz.pl ;
3) the direct supervisor of a close contact person at Lodz University of Technology should immediately perform the following activities:
a) order an employee who is a close contact person to perform work remotely, and in the event that due to the nature of work it is not possible for the employee to work remotely, the immediate supervisor is obliged to instruct the employee to self-isolate at home and to minimize contacts (household),
b) order the student / doctoral student who is a close contact person to participate only in remote classes,
c) provide information on the transfer of an employee who is a close contact person to remote work / self-isolation to the e-mail address of the Analysis and Accounts Section akp@adm.p.lodz.pl ,
d) provide information about the transfer of an employee / student / doctoral student who is a close contact person to work / distance learning / self-isolation to the e-mail address of the Crisis Management Centre Office.vrector.students@adm.p.lodz.pl .
4. Employee / student / doctoral student with a positive test for the presence of the SARS-CoV-2 virus:
1) an employee / student / doctoral student who is infected with the SARS-CoV-2 virus (has received a positive test result) should immediately inform the immediate supervisor at Lodz University of Technology by phone and / or e-mail about the positive result of the SARS-CoV-2 virus test and the duration of isolation ;
2) the direct supervisor at Lodz University of Technology of a person with a positive test for the presence of the SARS-CoV-2 virus should immediately perform the following actions:
a) provide information about the positive test result of their employee in isolation to the e-mail address of the Analysis and Accounts Section akp@adm.p.lodz.pl ,
b) provide information about the positive test result of their employee / student / doctoral student in isolation to the e-mail address of the Crisis Management Centre Office.vrector.students@adm.p.lodz.pl ,
c) inform the direct supervisors at Lodz University of Technology of close contacts that due to a positive test result, close contacts become people with suspected SARS-CoV-2;
3) the direct supervisor at Lodz University of Technology of close contact persons should immediately inform employees / students / doctoral students who are close contact persons that they become suspected of being infected with SARS-CoV-2 virus and should perform the necessary actions specified in the procedure presented in this communication starting from point 2;
4) close contact persons at Lodz University of Technology should immediately follow the guidelines set out in the procedure presented in this communication, starting from point 2.
5. Employee / student / doctoral student with a negative test result for the presence of the SARS-CoV-2 virus:
1) an employee / student / doctoral student who is not infected with the SARS-CoV-2 virus (has received a negative test result) should immediately perform the following actions:
a) inform the immediate supervisor at Lodz University of Technology by phone and / or e-mail about the negative result of the test for the presence of SARS-CoV-2 virus,
b) in the absence of health contraindications, return to work / study according to the currently applicable rules;
2) The direct supervisor at Lodz University of Technology of a person with a negative test result for the presence of SARS-CoV-2 virus should immediately perform the following actions:
a) inform the employee / student / doctoral student about returning to work / study under certain rules,
b) provide information about the negative result of the test of their employee / student / doctoral student who was instructed to work / study in the form of remote / self-isolation to the address of the Crisis Management Centre Office.vrector.students@adm.p.lodz.pl ,
c) inform the direct superiors at Lodz University of Technology of the close contacts that due to a negative test result, the close contacts may return to work.
3) the direct supervisor at Lodz University of Technology of close contacts should immediately inform the close contacts about the conditions of returning to work / study;
4) close contacts should immediately return to work / study under the conditions agreed with the immediate supervisor at Lodz University of Technology.
6. Failure to obtain the consent of the immediate supervisor at Lodz University of Technology to perform work in the form of remote work during quarantine or isolation will result in a reduction of remuneration to the amount resulting from the rules for the payment of sick pay to a person in quarantine/isolation.
7. Information procedure for dealing with suspected virus infection SARS-CoV-2 and the finding of SARS-CoV-2 virus infection indicated in this announcement has been presented in the form of a graphic diagram attached to this Announcement.
8. The regulations on the information procedure applicable to employees, students and doctoral students of Lodz University of Technology in relation to the prevention, counteraction and combat of the SARS-CoV-2 virus contained in the Announcement No. 17/2020 of the Rector of Lodz University of Technology of October 14, 2020, are repealed.
9. The announcement comes into force on January 18, 2021.
